Job Description: Senior Administrative Assistant

$20/hr depending on experience
Summary:

The Senior Administrative Assistant plays a vital role in providing comprehensive administrative support for designated functions within the organization and its affiliated entities, under the guidance of the Director. This position focuses on executing high-priority tasks and projects within specified timelines. It is a non-supervisory, non-exempt role.

Responsibilities:

  • Manage the calendars of the Deputy Executive Director, scheduling and confirming appointments.
  • Prepare meeting agendas and necessary materials.
  • Coordinate calls, distribute Outlook invitations, and organize webcast meetings.
  • Compile and distribute meeting minutes.
  • Create and edit PowerPoint presentations.
  • Arrange and coordinate travel plans.
  • Prepare and process expense reports.
  • Draft routine correspondence.
  • Undertake administrative projects for designated functions.
  • Generate various reports and correspondence.
  • Handle the preparation of mailing and shipping labels.
  • Establish and maintain files pertinent to assigned functions.
  • Provide administrative assistance to staff in other departments as directed.
  • Assist in the preparation for and attendance at significant meetings.
  • Engage in follow-up activities with contacts made during key meetings.
  • Perform additional miscellaneous duties as assigned.

Experience:

  • Minimum of one (1) year of experience providing executive-level administrative support.
  • Proficient in scheduling web-based and face-to-face meetings, preparing scientific minutes, creating PowerPoint presentations, scheduling travel, and managing an executive's calendar.
  • Proficiency in MS Word, PowerPoint, and Excel is essential.
  • Familiarity with medical terminology is advantageous.

Education:

  • A Bachelor’s degree or equivalent work experience and/or relevant professional experience.
